Create a Waitlist Workflow for Fully Booked Calendars

Create a Waitlist Workflow for Fully Booked Calendars

Turn “Sorry, I’m full” into “You’re next in line.”

Background & Why This Matters

When you’re booked solid, that’s a great sign…

…but if people reach out and you can’t accommodate them right away, they often disappear.

For health & wellness providers and small business owners, a waitlist workflow lets you:

  • Capture warm leads even when you’re at capacity
  • Show professionalism and care
  • Build a queue you can pull from when slots open up
  • Launch new services or group programs to those already interested

It also helps eliminate back-and-forth replies like: “Can I be notified if something opens up?”

What You’ll Achieve

You’ll build a waitlist system that:

  • Collects names, emails, and interest level
  • Sends a friendly confirmation and sets expectations
  • Optionally notifies people when openings occur or when you launch something new

What to Expect After Setup

  • No more missed leads just because you’re full
  • A warm list of pre-qualified clients ready when you scale
  • More control over who you bring in next

What You’ll Need

You’ll only need 30-45 minutes and free/low-cost tools to get started:

  • Form builder like Tally.so, Google Forms, Typeform, Jotform
  • Email automation (optional) like ConvertKit, MailerLite, Zapier
  • Calendar tool (optional) like Calendly, Acuity (cancellations)

Step-by-Step Instructions

Step 1: Create a Waitlist Form in Tally

  1. Go to Tally.so and sign up for a free account
  2. Click “New Form”
  3. Add form fields:
    • Name (short answer)
    • Email (email field)
    • Interest level (dropdown or multiple choice — e.g., “Urgent”, “Flexible”, “Just Curious”)
    • Service they’re interested in (if applicable)

✅ Step 2: Customize Confirmation Message

  1. Click the “Thank You” screen
  2. Add a message like: “Thanks for joining the waitlist! I’ll notify you as soon as a spot opens up or new options become available. Stay tuned!”

✅ Step 3: Connect To Email (optional)

If you want to automate follow-up:

  1. Integrate Tally with ConvertKit or MailerLite
  2. Create a Waitlist Tag to keep track of people
  3. Send a short email confirming they’re on the list
  4. Optional: Set up a sequence to nurture them weekly or monthly

Step 4: Share Your Waitlist Form

  1. Add the link to:
    • Your “fully booked” message
    • Your bio or link-in-bio tool (like Linktree or Beacons)
    • Your website under “Join the Waitlist”
  2. Bonus: Add a QR code in your office or IG Stories that links to the form

Step 5: Revisit Monthly

  • Review your waitlist once a week or month
  • If you get cancellations or open new slots, invite top-priority clients first
