Track & Tag Leads Based on Behavior
Know exactly who’s ready to buy — and follow up with the right message.
June 26, 2025 | David
Background & Why This Matters
Not all leads are equal.
Some people are just browsing. Others click your offer page, open every email, or download your freebie. But if you’re treating them all the same, you’re missing an opportunity.
The secret? Tracking behavior and tagging leads based on what they do. This allows you to:
- Prioritize hot leads
- Personalize your messages
- Nurture cold leads more strategically
For health & wellness providers and solo businesses, this is the foundation of smart, ethical automation.
What You’ll Achieve
You’ll set up a system that:
- Monitors what people click, open, and download
- Tags them based on interest level or action
- Automatically moves them into the right follow-up sequence
- Gives you visibility into who’s “warm” vs “not yet”
What to Expect After Setup
- Your follow-ups feel more relevant and timely
- Hot leads are easier to identify and convert
- You stop overwhelming or losing cold leads too early
What You’ll Need
You’ll only need 30-60 minutes and free/low-cost tools to get started:
- Email platform with tagging like ConvertKit, MailerLite, ActiveCampaign, Flowdesk
- Landing page/form builder like Tally.so, Typeform, Podia, Carrd
- Optional CRM or lead tracker like Notion, Airtable, Practice, or Google Sheets
Step-by-Step Instructions
Let’s walk through using ConvertKit.
✅ Step 1: Define Your Tags
Start with tags like:
- Clicked Freebie Link
- Viewed Paid Offer Page
- Booked Consult
- Did Not Book
- Warm Lead / Cold Lead
Think of tags as labels that help you filter and trigger automation.
✅ Step 2: Build Your Email Links with Click Tags
- In ConvertKit, go to Broadcast or Sequence
- When inserting a link (e.g., “View My 1:1 Coaching”), click “Add tag when clicked”
- Apply tag: Viewed Coaching Page
- Now you can trigger follow-ups only for people who clicked that link
✅ Step 3: Use Tags in Automations
- Go to Automations → New Automation
- Trigger: Tag Added → Viewed Coaching Page
- Add a delay (e.g., 1 day), then send targeted message: “I saw you checked out the coaching page — any questions I can help with?”
- Optional: Add another rule: If not booked within 3 days → Send reminder
✅ Step 4: Use Tags to Personalize Follow-Ups
In future emails, use conditional content:
- “Since you downloaded my stress guide, I think you’ll love this…”
- “Not ready for coaching yet? Here’s a free workshop to get started.”
You can also exclude certain tags from campaigns to avoid duplicate or irrelevant messaging.
✅ Step 5: Review Engagement in the Dashboard
- Go to Subscribers → Filter by Tag
- View open rates, clicks, and behaviors of your most active leads
- Export or sync with your CRM (Notion, Airtable) if you want more granularity
