Sync Data Across Tools Without Manual Entry

Sync Data Across Tools Without Manual Entry

Make your systems talk to each other — and stop copying & pasting for good.

Background & Why This Matters

You’re using great tools: Calendly for bookings, ConvertKit for emails, Stripe for payments, Notion for client notes…

But they don’t always play nice together.

So what happens?

  • You manually move info from one tool to another
  • You forget to update a spreadsheet
  • Clients fall through the cracks

That’s why data syncing and automation are so powerful.

With a few simple connections, you can keep everything aligned — and dramatically reduce your admin time.

What You’ll Achieve

You’ll build a system that:

  • Automatically syncs data between your booking, form, email, and CRM tools
  • Reduces manual work and the chance of human error
  • Keeps client info up-to-date across platforms
  • Frees you to focus on service, not spreadsheets

What to Expect After Setup

  • No more double entry
  • Client records are complete and reliable
  • Your backend feels way more professional and scalable

What You’ll Need

You’ll only need 45-75 minutes and free/low-cost tools to get started:

  • Integration platform like Zapier, Make.com, native integration
  • Source tools like Calendly, Tally.so, Stripe, Gmail, Notion, Google Sheets
  • Destination tools like ConvertKit

Step-by-Step Instructions

Step 1: Identify Your Most Repetitive Manual Tasks

Common examples include:

  • Moving emails from Tally forms → ConvertKit
  • Logging Stripe payments → Google Sheets
  • Adding Calendly bookings → Notion or CRM
  • Syncing Google Calendar → Airtable

Start by listing 2–3 of your most repetitive, boring tasks.

Step 2: Log Into Zapier & Set Up a “Zap”

Go to Zapier.com and:

  1. Click “+ Create Zap”
  2. Choose a Trigger App (e.g., Tally)
  3. Choose a Trigger Event (e.g., “New Form Submission”)
  4. Connect your account and test

Step 3: Choose an Action to Sync

Let’s say you want to move data from Tally → ConvertKit:

  • Action App: ConvertKit
  • Action Event: Add Subscriber to Form
  • Map fields from Tally to ConvertKit: Name, Email, Tags, etc.
  • Add a test contact to confirm everything flows properly

Step 4: Test the Workflow End-to-End

  1. Submit your form or booking manually
  2. Confirm:
    • Info appears in your CRM
    • Email is triggered
    • Calendar or spreadsheet is updated (if included)
  3. If needed, add filters (e.g., “only if service = coaching”) or delays (e.g., “wait 1 hour before emailing”)

Step 5: Repeat or Chain Additional Syncs

You can create multi-step workflows, like:

  • Tally → ConvertKit + Google Sheets + Slack Notification
  • Stripe Payment → Tag in ConvertKit + Add to Notion Client DB
