Auto-Tag and Categorize Email Inquiries
Organize your inbox and spot high-priority leads instantly.
Background & Why This Matters
Your inbox is full of potential — consult requests, client questions, reschedules, collabs, spam…
…but everything’s jumbled together. So what happens?
- You miss urgent messages
- You spend time sorting manually
- You waste energy opening emails that aren’t important
By setting up auto-tagging and categorization, you can make Gmail (or your preferred email platform) filter, label, and prioritize messages for you — so you only focus on what matters most.
What You’ll Achieve
You’ll build a system that:
- Automatically tags incoming emails by topic or urgency
- Sorts messages into folders (Consult Requests, Reschedules, Admin, etc.)
- Helps you find and follow up on hot leads faster
- Cuts inbox stress and makes you look more professional
What to Expect After Setup
- Cleaner, calmer inbox
- Faster lead response time
- Fewer “Oops, I missed your message” moments
What You’ll Need
You’ll only need 25-45 minutes and free/low-cost tools to get started:
- Email provider like Gmail, Outlook, others
- Tagging/filtering tool like Gmail Labels, Filters, or Zapier
- Optional AI assistant like ChatGPT (to generate sorting logic), Gmail Add-ons
- Optional database like Notion, Sheets, Airtable for tracking categorized leads
Step-by-Step Instructions
Let’s walk through using Gmail Filters + Labels.
✅ Step 1: Decide What Categories You Need
Common labels:
- Consult Requests
- Reschedules / Cancellations
- Client Questions
- Payments
- Partnership / Collabs
- Spam / Ignore
You can also tag by service type (e.g., Nutrition Leads, Massage Bookings)
✅ Step 2: Create Gmail Labels
- Open Gmail
- On the left, scroll down to “+ Create new label”
- Name each label (e.g., “Consult Request”)
- Optional: Use colors to visually flag high-priority categories
✅ Step 3: Create Filters for Incoming Emails
- In Gmail, click the ⚙️ Settings → See all settings → Filters and Blocked Addresses
- Click Create New Filter
- Use the “Has the words” or “Subject includes” fields to set criteria “consult”, “free call”, “reschedule”, “payment link”
- Click Create Filter, then:
- Check “Apply the label”
- Choose the appropriate label
- Optional: Mark as important, star, or skip inbox
Repeat for each type of inquiry.
✅ Step 4: Use Gmail Search to Surface Tagged Leads
Search for labels like:
- label:Consult-Requests is:unread
- label:Client-Questions newer_than:7d
Optional: Set up a Saved Search bookmark or dashboard in Notion/Airtable to log the leads you want to follow up on.
✅ Step 5: (Optional) Use Zapier for Deeper Actions
Want email triggers to:
- Add info to Google Sheets
- Ping Slack or SMS
- Tag someone in ConvertKit?
Set up a Zap:
- Trigger: New email matching criteria in Gmail
- Filter: Subject includes “Consult”
- Action: Add to lead tracker, CRM, or ping you via text
