  • Optional AI assistant like ChatGPT (to generate sorting logic), Gmail Add-ons
  • Optional database like Notion, Sheets, Airtable for tracking categorized leads

Step-by-Step Instructions

Step 1: Decide What Categories You Need

Common labels:

  • Consult Requests
  • Reschedules / Cancellations
  • Client Questions
  • Payments
  • Partnership / Collabs
  • Spam / Ignore

You can also tag by service type (e.g., Nutrition Leads, Massage Bookings)

Step 2: Create Gmail Labels

  1. Open Gmail
  2. On the left, scroll down to “+ Create new label”
  3. Name each label (e.g., “Consult Request”)
  4. Optional: Use colors to visually flag high-priority categories

Step 3: Create Filters for Incoming Emails

  1. In Gmail, click the ⚙️ Settings → See all settings → Filters and Blocked Addresses
  2. Click Create New Filter
  3. Use the “Has the words” or “Subject includes” fields to set criteria “consult”, “free call”, “reschedule”, “payment link”
  4. Click Create Filter, then:
    • Check “Apply the label”

  • Trigger: New email matching criteria in Gmail
